When should I reach out?
The earlier, the better—especially if you're planning a wedding or large event. Booking early gives us more time to build a thoughtful plan together.
That said, if your event is just around the corner, don't hesitate to reach out. If I have availability, I'm always happy to see how I can help.
What kinds of events do you support?
Envisioned supports weddings, nonprofit events, fundraisers, business gatherings, milestone celebrations, and celebrations of life.
While every event is different, my focus is always the same: helping people experience the moments that matter while I manage the logistics behind the scenes.
Do you travel?
Yes. Travel within 30 miles (one-way) from Windham, Maine is included. Additional mileage is billed at $0.70/mile, and events more than one hour away may include a travel time fee. Overnight lodging may be required for late-ending or long-distance events (details below).
How do I know which level of support is right for me?
That's exactly what our Discovery Call is for.
We'll talk through your event, where you are in the planning process, and what feels most overwhelming. Together, we'll determine which level of support fits your gathering best.
Working Together
What happens after I inquire?
We'll schedule a Discovery Call where I'll learn about your event, your goals, and the support you're looking for.
If we're a good fit, you'll receive a proposal, contract, and next steps so we can begin planning together.
Can I customize my support?
Absolutely.
Every event is unique, and sometimes a little more—or a little less—support makes sense.
If one of the existing support levels isn't quite right, we'll talk through options together.
What if I've already done most of the planning?
That's actually very common.
Many clients come to me after they've planned most of the event themselves and simply need someone to step in, coordinate the moving pieces, and protect the experience on the day of the event.
How many assistants will my event need?
Staffing is based on the size, complexity, and unique needs of your gathering. My goal is to ensure your event is thoughtfully supported without adding more people than necessary.
As a general guideline:

Up to 50 guests: Lead Coordinator

51–100 guests: Lead Coordinator + 1 Assistant

During onboarding, we'll review your timeline, venue, guest count, and event logistics together to determine the level of support that best protects your experience.
What weekend enhancements do you offer for weddings?
Some celebrations extend beyond the wedding day itself. If you'd like additional support throughout your wedding weekend, you can add coordination for other meaningful gatherings so you, your family, and your guests can remain fully present from beginning to end.

Each enhancement includes planning support, vendor communication, timeline coordination, and onsite management, allowing you to enjoy each gathering without managing the details yourself.
Is rehearsal direction included?
Yes. Every Wedding Event Management package includes one hour of rehearsal coordination, typically scheduled within the week leading up to your wedding.
During the rehearsal, I'll guide your wedding party through the ceremony processional, recessional, timing, cues, and overall flow so everyone knows where to be and what to expect—helping your wedding day begin with confidence and calm.
If your wedding weekend includes additional gatherings, such as a welcome party, rehearsal dinner, or farewell brunch, coordination for those events can be added as weekend enhancements.
Can we add more coordination time on the event day or weekend?
Absolutely.
Every gathering is unique, and some celebrations benefit from additional onsite support. Whether you're planning a multi-day wedding weekend, hosting events at multiple locations, or simply want extra coverage, additional coordination time can be added to fit your needs.

What do you actually handle on event day?
My role is to quietly manage the logistics behind the scenes.
That includes communicating with vendors, managing the timeline, answering questions, solving unexpected issues, and keeping everything moving smoothly—so you can stay present with your guests.
Will you contact my vendors?
Yes.
Before your event, I'll connect with your vendors to confirm timelines, logistics, and responsibilities so everyone is working from the same plan.
Will you create the event timeline?
Yes.
Every event receives a customized timeline designed around your gathering and the people involved—not just a generic schedule.
What happens if something unexpected comes up?
Unexpected moments happen at nearly every event.
The difference is that you don't have to carry them alone.
My role is to respond calmly, communicate clearly, and solve problems quietly whenever possible—often before you even realize something happened.
Investment
Do you require a deposit?
Yes.
A signed agreement and retainer secure your date. Remaining payments are outlined in your proposal so you'll always know what to expect.
What if my event changes?
Events evolve.
Guest counts shift, timelines change, and plans adjust along the way.
We'll work through those changes together and update your contract as needed.
Is event management worth it if I've already planned everything?
Many people think event management is only about keeping a timeline.
In reality, it's about protecting the experience you've worked so hard to create.
When someone else is managing the details, you're free to enjoy the reason you planned the gathering in the first place.

Do you help with committee or volunteer coordination?
Yes. Committee- and volunteer-led events often involve many moving pieces and many people carrying different responsibilities.
I help bring clarity through planning, communication, and coordination so your team can work together with confidence. Whether we're organizing timelines, defining responsibilities, or supporting volunteers on event day, my goal is to reduce overwhelm and help your team focus on the people and purpose behind the gathering.

If your event includes auction software, online registration, or donation platforms, I can work alongside the tools and team you've chosen to help ensure everything runs smoothly, but I don't manage fundraising campaigns or solicit donations on behalf of organizations.

Between sessions, communication is limited to scheduling and session logistics. This helps maintain clear boundaries, keeps support focused, and ensures each Planning Support Session receives the thoughtful attention it deserves.
If additional planning questions come up, you're always welcome to schedule another session.
ADD-ONS & ENHANCEMENTS
Do you offer RSVP management?
Yes. RSVP Management is available as an add-on starting at $500.
I'll help set up your RSVP tracking system, monitor responses, send reminder schedules, and provide organized guest counts to help you stay on top of your planning.
To preserve your personal connection with your guests, communications are sent from you rather than directly from Envisioned. I'll provide the organization and behind-the-scenes support—you remain the host your guests know and trust.
Can I add extra coordinators or staff?
Absolutely.
Every event is different, and sometimes additional support makes all the difference. Extra Event Assistants can be added to provide additional coverage for larger guest counts, multiple locations, complex logistics, or events that simply benefit from more hands on deck.
Event Assistants help with guest flow, check-in, décor placement, vendor support, setup oversight, and other behind-the-scenes responsibilities so your event runs smoothly.
Additional Event Assistants are available starting at $50 per hour, per assistant. Together, we'll determine the appropriate staffing based on your guest count, timeline, and event logistics.
Can you help with layout or room flow?
Absolutely.
A thoughtful layout does more than determine where tables and chairs go—it shapes how your guests move, connect, and experience your gathering.
Floor Plan Review is available as an enhancement and includes guidance on seating arrangements, guest flow, vendor placement, accessibility, and overall room layout based on your venue, guest count, and event goals.
Together, we'll create a layout that not only functions well but also supports the experience you want your guests to have.
